Our Candidate Vetting and Matching Process
We don’t just send resumes. We get to know the people behind them.
Every candidate goes through a thoughtful, multi-step process before being presented to a family. From the initial phone screening and in-depth interview to reference checks and final background and driving record checks, we take the time to thoroughly evaluate each candidate.
1. Initial Phone Screening
We learn about their experience, qualifications, availability, and goals.
2. In-Depth Interview
We meet one-on-one to ask extensive questions and learn about their experience, personality, communication style, values, and work style.
3. Comprehensive Candidate Profile
Qualified candidates create a detailed profile including their experience, education, bio, and references.
4. Verbal Reference Checks
We personally contact each reference and include the feedback in the candidate’s profile.
5. Thoughtful Matching
We draw from our database of vetted candidates to identify individuals who align with the family’s specific needs and the position.
6. Selective Candidate Presentation
We don’t send every candidate who meets the basic qualifications. We only present candidates we believe are the strongest match for the family and position.
7. Final Background & Driving Checks
Before the hire is finalized, candidates undergo applicable criminal background and driving record checks.
Matching Is About More Than a Resume
Anyone can create a resume. A resume can tell you someone’s experience and qualifications, but it can’t tell you everything about the person.
We don’t just match qualifications. We match people.
We consider personality, communication style, values, experience, work style, strengths, preferences, and goals alongside the unique needs and dynamics of each family.
Our goal isn’t to send you the most candidates. It’s to send you the right candidates.
Why Families Choose The Nanny Haven
10% Nanny Placement Fee
Quality nanny placement shouldn't require an oversized agency fee.
Our placement fee is just 10% of your nanny's annual salary.
Household Manager / Nanny: 13%
No Candidate Limits
We don't put a number on finding the right fit.
Unlike agencies that limit the number of candidates a family can consider, we don't cap your candidate search. We continue working with you and presenting qualified candidates until we find the right match.
Boutique by Design
We intentionally keep The Nanny Haven small.
That means we can devote more time and attention to every family we serve. You won't feel like another file in a large database—you'll have a placement partner who knows your family and understands what you're looking for.
Personalized Matching
We don't just fill positions. We build matches.
We take the time to understand your family's lifestyle, parenting philosophy, household needs, personality preferences, and expectations so we can identify candidates who are truly aligned with your family.
Your Family Deserves More Than a List of Candidates.
You deserve an agency that listens.
An agency that knows your family's needs.
An agency that stays engaged throughout the process.
And an agency that is committed to finding the right person—not simply the next available candidate.
That's The Nanny Haven difference.
Personal attention. No candidate limits. Transparent fees. Thoughtful matches.
-
Initial Consultation
We begin the process by scheduling an initial consultation with the family to discuss their specific needs and preferences. This consultation is generally conducted over the phone.
-
Family Consultation
This is a 45-minute Zoom consultation with our placement coordinator, who will thoroughly assess your family's needs and the type of caregiver required. We will gather detailed information about your children and their schedules to ensure a better match with a suitable candidate.
-
Candidate Search
Once we have a clear understanding of the family's needs and preferences, we begin the search for qualified nanny candidates. We utilize our extensive network of professional nannies to find the best possible matches.
-
Screening Process
We have a rigorous screening process that includes background checks, reference checks, and in-person interviews to ensure that every nanny candidate we recommend is safe, reliable, and qualified.
-
Candidate Presentation
Once we have identified potential nanny candidates, we present their profiles and resumes to the family for review. The family can then select which candidates they would like to interview.
-
Interviews and Trial Periods
We schedule interviews between the family and the selected nanny candidates, and we may also arrange for a paid trial period during which the nanny candidate can work with the family.
-
Placement
Once a family has selected a nanny candidate and an agreement has been reached, we help facilitate the placement process. This includes drafting and finalizing a contract, coordinating start dates, scheduling and providing ongoing support throughout the placement.

As a busy parent, finding the right nanny for your family can be a challenging task. Fortunately, working with a reputable nanny agency, like The Nanny Haven, will make the process much smoother and stress-free. Some benefits include:
Access to a Large Pool of Qualified Nannies
One of the biggest benefits of working with a nanny agency is having access to a large pool of qualified nannies. Agencies typically have an extensive database of pre-screened and vetted candidates, which means you'll have a better chance of finding the right match for your family. This can save you a significant amount of time and effort compared to searching for nannies on your own.
A Replacement Period
There is nothing more frustrating than vetting a candidate, hiring, and it doesn’t work out. The Nanny Haven offers a full year replacement period for a Full-Time Placement with us.
Expertise and Support
Nanny agencies employ experienced and knowledgeable staff who can provide you with valuable guidance and support throughout the hiring process. They can help you navigate the interview process, provide advice on salary and benefits, and offer assistance with background checks and reference checks. This can be especially helpful if you're new to the nanny hiring process.
Quality Assurance
Working with a reputable nanny agency can provide you with peace of mind knowing that the nannies they recommend have undergone a thorough screening process. Agencies typically conduct extensive background checks, verify references, and ensure that candidates have the necessary qualifications and experience to provide high-quality childcare. This can help you avoid the risks and uncertainties associated with hiring a nanny on your own.
Flexibility
Nanny agencies can offer a range of options to meet your specific needs, whether you're looking for full-time or part-time care, live-in or live-out nannies, or temporary or permanent placement. They can also provide backup care if your regular nanny is unavailable due to illness or other reasons, which can be a lifesaver for busy parents.
Continued Support
Once you've hired a nanny through an agency, you'll typically have continued support and resources available to you. Agencies can provide guidance on how to manage your nanny-employer relationship, offer training and development opportunities for your nanny, and provide assistance with any issues that may arise during the employment relationship.
